Program and Operations Assistant

About NBWJI

The National Black Women’s Justice Institute (NBWJI) aims to eliminate racial and gender disparities in the U.S. criminal-legal system that are responsible for its disproportionate impact on Black women, girls, and gender-expansive people. We engage in rigorous research and capacity building in order to transform the current system and promote policy change that centers and uplifts the voices and experiences of system-impacted Black women and girls. Through our work, we seek to dismantle the punitive paradigm driving the U.S. criminal-legal system and build in its place pathways to healing and opportunity. What you’ll do

NBWJI is looking to hire an experienced program and operations assistant to work directly with the Executive Director and NBWJI team. You will assist the executive director with day-to-day operations (e.g., scheduling, expense tracking, filing, and other administrative tasks), provide administrative support to program staff, and perform special projects, as needed. This person plays a vital role in ensuring the organization runs smoothly.


The ideal candidate is organized, attentive to detail, responsive, thoughtful, and a strong communicator. They also enjoy administrative work and assisting with event planning and coordination.


Responsibilities

  • Maintain detailed and accurate filing and record keeping across the entire organization

  • Manage technology access for the organization, including Zoom accounts, email setup, and access to other software and subscriptions

  • Assist with finance-related matters, including expense tracking, reporting, coding, reimbursements, and invoicing

  • Manage the executive director’s calendar, including coordinating and assisting with the preparation for internal and external meetings, rescheduling meetings, and notetaking

  • Respond to phone calls to NBWJI’s general phone line and manage NBWJI’s general email inbox, providing timely responses

  • Serve as the liaison to the Board of Directors, including meeting scheduling and preparation, recording and maintaining minutes, and preparing board dashboards

  • Assist with maintaining vendor relationships

  • Assist with new employee onboarding, including setting up employees in NBWJI’s HR and Payroll system and ensuring staff’s timely completion of required training and certifications.

  • Assist with event planning, including planning staff and board of directors’ retreats

  • Coordinate employee travel

  • Manage office supplies

  • Perform other tasks and duties reasonably related to job responsibilities.


Qualifications

  • Knowledgeable of Microsoft Excel and Google Sheets

  • Excellent organizational, multi-tasking, and prioritizing skills

  • Self-motivated, proactive, forward thinking

  • Enjoys working independently and supporting teams

  • Detail-oriented and highly organized

  • Excellent written and verbal communicator

  • 2+ years of administrative experience, preferred


Salary and benefits: The salary range is $50,000-$60,000, commensurate with experience. Employees also receive a benefits package including health coverage, short and long-term disability, and paid time off. The position is full-time (FLSA: Non-Exempt).
